The communication and relationship you have with the academic division of the summer programme
There are several key events throughout each turn that are integral to the running of the academic department, that are managed or worked on in tandem with you.
The academic team on site consists of a Director of Studies, Senior Teacher, and teaching team.
The Academic team organise their classes according to student numbers provided by the Zig Zag – a document that splits students into morning and afternoon groups for their classes and activities. It is of utmost importance that the Zig Zag is completed, and numbers are discussed with the Director of Studies before arrivals day.
Groups are divided into AM or PM academic slots based on group numbers, student requirements, availability and a programme called 'Travel With', which allows students to name a buddy student to be grouped with for excursions - this has a knock on effect to what side of the Zig Zag they are in.

You will need to set up group WhatsApp with the Activity Manager, Welfare Manager, Senior Activity Leader, Director of Studies, Senior Teacher, and all teachers.
If a student is absent from class, they will message that group and it is your responsibility to investigate and report back in the group. For more on absences, see the Language in Action Staff Handbook available on the HR Portal
Depending on the size of the centre, students will either receive their certificates in the classroom, or as a larger group in a lecture theatre. The Activity Manager and or Welfare Manager must be present at the leaving ceremony or must visit each classroom on the final day to say goodbye to the students and wish them good luck in the future.
Certificates will be created by the Academic team using software called Fidelo, and the certificates will be printed off site and delivered before the final day. Do not let the certificates sit in boxes forgotten about. Make sure you alert the Director of Studies about their delivery.
In the event that a certificate is incorrect or missing information, you will have access to a certificate template and white card to reprint it yourself. This can be found in the Staff Drive.
If there are any concerns about a student’s behaviour or welfare in the classroom, the teacher will speak to the Welfare Manager, who will need to investigate the concern. For more information see section 4.0 Safeguarding & Welfare, and the Language in Action Employee Handbook
